The role will require 20+ hours a week (but in most cases, less than 40)
This role is not eligible for L Brands benefits.
The Meetings and Events Coordinator position is responsible for creation, planning, execution and on-site support of various types of meetings or events including business meetings, training, incentives, associate and community events. The Coordinator supports the Meeting & Events team as needed in any capacity including sourcing, contracting, supplier relationship, logistics, planning and/or execution. This role is heavily focused on customer relationships and satisfaction while simultaneously delivering a great event experience.
-Create and execute small-scale meetings, events and activities as assigned.
-Assist with online invitations & registrations, collecting and managing the RSVP process, working directly with the Planners and their Meeting Hosts to ensure accurate, timely and appropriate communications to attendees.
-Support Meetings & Events team as needed.
-Guide Meeting Hosts to follow established processes including completion / submittal of meeting request forms, budget approval forms, contracting protocols and enterprise budgetary initiatives.
-Accountable to recommend creative options (location, F&B, decor, A/V, etc.) to Meeting Hosts that are appropriate and in alignment with business strategy / purpose.
-Assists with event themes and creates decor as appropriate to the business agenda / budget.
-Engages Manager when conflicts arise with overlapping meetings, internal space conflicts, equipment needs, etc.
-Source, negotiate and contract all needs for small-scale meetings.
-Ensures timely reconciliation of meeting costs, travel expenses and departmental reports ensuring all are held within defined parameters. Keeps Meeting Hosts continually updated on spend. Ensures final budget is entered into technology tool; sends final copy of budget to Meeting Host.
-Coordinate relationships with all partners / suppliers - internal and external.
-Solicit feedback through surveys and hindsights, seeking improvements, recommendations and suggestions.

EXPERIENCE AND EDUCATION
-1 - 2 years of experience in meeting and event planning
-Knowledge of group meeting industry, destinations, hotel and supplier-base
-Proficient in Microsoft Office suite including Excel, Word, PowerPoint and Outlook
